At Lauderdale House we collect some personal data about our website users, customers and partners. This Privacy Policy explains what data we collect, what we do with it, and why we use it. 
We will continue to review and update our Privacy Policy and our data practices to ensure we are treating your data in the most appropriate ways – therefore this policy may change over time.

We ensure the security of any personal information we hold by using secure data storage technologies and precise procedures in how we store, access and manage that information. 

Below we have outlined the types of data we collect and how these are used.

We do not share your information with third parties.

 

Ticketing Data

When you begin the process of purchasing tickets or donating via lauderdalehouse.org.uk or over the phone with our box office, we will record your name and phone number. We may also ask for a mailing address and email address. If you are buying tickets to a children’s event, we may ask you to provide the ages of the children attending so that we can provide an age-appropriate experience. These details will be stored by Ticketsolve, our ticketing partner. 

We will use the data collected during the ticket sales process to send you your e-tickets and any other relevant and necessary information about the event. For example, we may email you with a materials lists for an art class or we may call you if an event is cancelled at the last minute.
If you do not buy a ticket, make a donation, or update your details for 6 years, we will remove your data from Ticketsolve. 

Whilst buying tickets, you will also be given the opportunity to hear about our news and upcoming events by joining our email mailing list or postal mail-out list. If you choose to join the email list, your details will be stored on our Email software, Mailchimp. 

When you make a payment for tickets or a donation via the Lauderdale House website, data is shared with Realex, Ticketsolve’s payment gateway partner for the purposes of processing your card payment.

 

Email newsletter Data

If you choose to opt-in to our email mailing list – at the time of booking or separately through a newsletter sign-up form – we will store your name and email address in our Email software, Mailchimp. We may also store details of the kinds of event you have shown an interest in to enable us to personalise the information we send to you. We will use these details to send you regular email newsletters about what is happening at Lauderdale House and our upcoming events, activities and classes. We also gather statistics around email opening and click rates using industry standard technologies to help us monitor and improve your marketing.

You can unsubscribe from our email newsletter lists by clicking the unsubscribe link at the bottom of any of our emails or by emailing us at enquiries@lauderdale.org.uk.

If you do not open an email, click on a link or update your details for 6 years, we will remove your data from Mailchimp. 

 

Class Attendee Data

For our adult classes, we will ask attendees to provide a name, email address and phone number. For children’s classes, we will ask for the name and age of the child as well as contact details for a parent or guardian. We will use your contact details to let you know about any important class information such as half-term dates or cancellations. Parent or guardian information for children’s classes will be kept by the class teacher to use in case of emergencies.

Class Attendee data is stored on Ticketsolve, however we may print off registers to be used in classes which will be kept by the class teacher and will be destroyed after use. If you do not return to a class, buy a ticket, make a donation or update your details for 6 years, we will remove your data from Ticketsolve. 

 

Hiring Enquiries

If you enquire about hiring a space for an event at Lauderdale House – either by phone or by filling in our enquiry form – we will store information about your request on our bookings system Collins/ Design My Night. Information collected may include your name, address, email address, phone number and other details provided by you relating to your event (such as your spouse’s name in the case of a wedding). This information will be used by us to facilitate running your event. If you do not contact us or book another event within 6 years, your data will be removed. 

 

UK Bride

We work with wedding-planning website UK Bride to help brides and grooms planning their weddings. Users of this platform have the opportunity to opt-in to hear from UK Bride’s associated suppliers when they sign up with UK Bride. If they do so, we will be passed these contact details which we will store in Mailchimp and which we will use to pass you details of our wedding services. We will not use these details to promote any of our other services to you, and will of course remove you from our lists if you wish. If we do not hear from people who opt-in via UK Bride within 1 year of us receiving their data, we will remove them from our list. 

 

Third Parties

Ticketsolve, Realex, Mailchimp and Collins/Design My Night act as data processors on behalf of Lauderdale House and have all implemented appropriate technological measures to protect against accidental loss, destruction, damage, alteration or disclosure of your data.
